Proofreading: A document is closely examined for hard-to-spot errors and internal consistency.

An existing document is examined closely for grammar, punctuation, spelling, style, and internal consistency. For example, if the oxford comma is used on page six then it should be used on page fourteen as well. I also check for issues like misplaced modifiers and easily misused words to ensure that your writing says what you intend for it to say. If the document uses references, I check to ensure that they are written consistently. If you do not agree with one of my changes, you don’t have to use it, as it is your document. I also check for consistency in the use of headings, dividers, and spacing. Proofreading can help your document become a quality, seamlessly written text. In some documents, copyediting may also be necessary.

Copyediting: I ensure that paragraphs and sentences read smoothly and consistently while respecting the author’s voice.

Copyediting is a heavier edit than proofreading and ensures that the paragraphs and sentences read consistently and smoothly while respecting the author's voice. Copyediting does not include "big picture" changes to the document but checks each sentence for variety, fluidity, repetition, and word choice. The copyeditor might reword sentences, recommend alternative words or phrases, suggest edits for consistency in style, and ask questions to clarify the meaning of the text. If you do not agree with a change or suggestion, you do not have to use it. Some documents may need both copyediting and proofreading.

Formatting: I use various tools in Word to ensure that the document follows a consistent design, built to your specifications.

When working on books and other large documents, formatting should take place between copyediting and proofreading. While in the formatting phase, I apply several different styles for headings, lists, captions and body of the text. Using styles enables the document to have a consistently applied font, font size and spacing. If a change must be made to the document after the styles have been applied, the style can be adapted and change everything using that style at once. A consistent theme can also be applied through the whole document, which contributes to the feel and the mood in the document. Formatting also includes the pagination. I can apply roman numerals in the front matter of the book and continue the remainder of the book with Arabic numerals where you want them to begin. A page header can state the title of the book on the left and the author’s name on the right or vice versa. It can all be crafted to create a professional and consistent look for your document.
